A Brief Overview

The Leukodystrophy Center at Children's Hospital of Philadelphia is seeking a skilled Resource Coordinator to support the needs of its rapidly expanding clinical and research programs. This individual will provide advanced administrative support to its Program Director, Dr. Adeline Vanderver, MD, including management of complex schedules, correspondence, travel, and expense reimbursements. The Leukodystrophy Center is one of the largest programs of its kind in the world. It brings together a multidisciplinary group of caregivers to provide cutting-edge, comprehensive diagnostic testing, clinical care, and the most advanced treatment to infants and children with inherited white matter diseases that are collectively known as leukodystrophies.

This is a high-volume, fast-paced clinical and research environment, and a successful candidate must be able to demonstrate an ability to multi-task proficiently. Prior experience working in a similar environment is strongly preferred. Outstanding written and oral communication skills are essential, as the role will involve regular correspondence with both internal and external collaborators, research sponsors, as well as patients and families.

What you will do

  • Clinical / Program Coordination
  • Coordinate and track complex clinical, program or research activities.
  • Serve as the main point of contact for activities and projects.
  • Organize, monitor and assist with the review, editing and submission of documentation including grants, manuscripts, galleys, proofs, articles, publications and presentations.
  • Facilitate the maintenance and improvement of protocols and processes.
  • Assist with financial functions including budgets, reimbursements, invoices, expenses, purchase orders, renewals, funding, variances and financial reports.
  • Maintain systems, databases, procedures, and websites for records and reporting.
  • Maintain program metrics and related tools and regularly reports results.
  • Coordinate information collection, compilation and dissemination as required.
  • Administrative Support
  • Prepare and coordinate for meetings, interviews, committees, conferences and calendars including schedules, travel, agendas and minutes.
  • Prepare presentations, letters, reports, memoranda, and related materials.
  • Assist in message creation and development including website content, fact sheets, correspondences, emails, lectures, social media posts and other formats.
  • Track and manage materials and inventory, and coordinate supply purchasing
  • Other duties and administrative support projects as required.

Education Qualifications

  • High School Diploma / GED Required
  • Bachelor's Degree Preferred

Experience Qualifications

  • At least three (3) years of research, coordination or administrative experience Required
  • At least five (5) years of research, coordination or administrative experience Preferred
  • At least three (3) years of experience in a healthcare related environment Preferred

Skills and Abilities

  • Basic knowledge of medical terminology and protocols (Required proficiency)
  • Basic knowledge of HIPAA regulations (Required proficiency)
  • Intermediate proficiency with electronic medical record software (EPIC) (Required proficiency)
  • Advanced proficiency with word processing software (Word) (Required proficiency)
  • Intermediate proficiency with presentation software (PowerPoint) (Required proficiency)
  • Intermediate proficiency with spreadsheet software (Excel) (Required proficiency)
