Position Summary:
The Originating Production Manager I plays an important role in the organization by performing a number of activities related to the company’s retail operations functions. The role is primarily responsible, under limited to intermittent direction, for ensuring the completeness, accuracy, timeliness, and compliance of loan files by assisting an originator or a team of originators in addition to overseeing less experienced origination support staff, responding to escalated loan-related issues, developing and implementing practices and processes to increase department efficiency, and performing other similar tasks. The position also provides quality relations with borrowers through completing the origination processing of application, loan disclosure, review files for adherence to underwriting standards; ensuring completeness of submission to processing.
Essential Functions:
- Review files for adherence to underwriting standards and ensuring completeness of submission.
- Contact borrower and/or mortgage broker to collect necessary documentation and act as a liaison between origination staff, underwriters, and customers. Ensure the completeness, accuracy, timeliness and compliance of loan files.
- Monitor the loan pipeline in MyCircle and assign Web Apps to other origination support staff on the originator’s team on MyCircle.
- Lead a team tasked with the day-to-day administrative support of an originator; oversee the input and maintenance of MyKey and database system data; the collection of loan applications, supporting documentation, and other paperwork; the analysis of customer credit/financial scenarios, etc.
- Train new origination support staff; manage the loan pipeline in MyApps; assign workload among origination support staff and manage work schedules in order to ensure optimal loan completion rates.
- Monitor operational performance/metrics for the department to maximize productivity, efficiency, and compliance levels.
- Build and maintain solid working relationships with realtors with the goal of generating leads, increasing loan production, and providing exemplary customer service.
- Ensure client meetings are regularly set and efficiently held; ensure regular and appropriate status updates are provided to customers throughout loan cycle.
- Provide recommendations for new and revised procedures to increase efficiencies and/or decrease errors.
- Cultivate and maintain a positive department culture that emphasizes teamwork, collaboration, and that openly shares information so that clients can be served as quickly and efficiently as possible.
- Respond to escalated issues that cannot be resolved by teammates; assist with complex loans, provide support on scenarios/pre-qualifications when needed, etc.
- Run reports in CRM, provide data and status updates to originator periodically.
- Assist the Sales and Operations team with the overall pipeline by providing overflow capacity from Online App to the Processing Department
- Oversee achievement of standards, risk management, quality control, and adherence to policy and procedure.
- Stay abreast of industry trends and changing regulations and guidelines related to field of expertise; make recommendations for changes to policy, practice, and process accordingly.
- Perform other duties as assigned.
Origination duties:
- Collect supporting documentation from borrower: 30 day paystubs, 2 years tax returns, Last 2 years W2’s, Award letters, disability, trust income, etc., LOE for Gaps in jobs, At initial contact with borrower provide needs list and complete application, 2 months bank statements.
- Obtain executed disclosures within regulations time frame.
- Obtain accurate AUS findings and prepare the Initial Fee Worksheet.
- Analyze credit report and financial scenario, determining appropriate loan product(s).
- Determine (price) a profitable loan and communicate fees to ops team.
- Submit a complete loan package to processing. Processing will not proceed without a complete loan file: Complete application, signed disclosures, at least 80% of what is required to obtain an UW approval.
- Lock in rate.
- Review CD to ensure fees and cash at closing are consistent with commitment to Customer: Issue Lender Credit if needed. If loan out of balance, work with processor & branch manager to request subsidy.
- Resolve file problems, bottlenecks and qualifying issues throughout production and underwriting process.
- Provide administrative support in the collection and preparation of submitting loan application with supporting documentation to processing.
- Coordinate, create, track and distribute marketing materials.
- Manage client and referral partner databases.
- Perform any other reasonable duties required by Guild Mortgage Company or Loan Officer.
Qualifications:
- High school diploma or equivalent.
- Two to three years total experience as a high performing Loan Officer Assistant.
- Prior experience in lead position preferred.
- Active state-specific NMLS license required.
- Expert-level knowledge of mortgage business, including overall mortgage lending processes and internal controls, as well as federal, state, and regulatory requirements/guidelines; valid documentation related to processing mortgage applications.
- Ability to manage multiple priorities; strong detail orientation and highly organized.
- Works with a strong sense of urgency and responsiveness.
- Passionate about delivering excellence in customer service.
- Demonstrated patience and professionalism when interacting with both internal and external customers.
- Proficiency with data entry, PDF software programs, Microsoft Word, Excel, and PowerPoint required.
