Job Summary

The Frankel Cardiovascular Center (FCVC) is seeking an administrative professional to provide high-level support for the Michigan-Israel Partnership for Research and Education program and the FCVC Summer Undergraduate Research fellowship program. The successful candidate will have the skills and knowledge to implement and follow organizational policies and procedures, have a strong customer service focus, as well as being an effective communicator (written and verbal), problem solver, and team member. This position requires the ability to exercise independent judgment and employ basic reasoning skills.

    Responsibilities*

         Michigan-Israel Partnership for Research and Education (MIP 75%):

    • Serve as the primary communication link between tri-institutional leadership, The Office of the Vice President of Research, and the Office of University Development, ensuring seamless information flow and coordination.
    • Develop and manage content for the program website, marketing materials, communications, and the program manual to effectively promote and support program initiatives.
    • Organize and lead all aspects of the MIP annual scientific conference, including planning, logistics, and operational support to ensure a successful event.
    • Administer the annual pilot grant program by managing application reviews, coordinating award processes, and communicating with participants. Oversee and reconcile significant budgets and expenditures. Handle the processing and approval of expense reports, procurement invoices, and wire transfers with meticulous attention to detail.
    • Provide comprehensive administrative support to faculty leadership, manage donor gift agreements, prepare and monitor annual budgets, and contribute to other projects as needed.
    • Author detailed reports, track key metrics, and present findings to leadership to support informed decision-making.  

         FCVC Summer Undergraduate Research Fellowship Program (SURF 25%):

    • Provide guidance and training to the Administrative Specialist Associate in organizing and facilitating the annual 10-week program, including planning the weekly social events and the end-of-summer symposium. Handle all HR-related transactions, such as job postings and hiring processes, submission and management of timesheets, resolving payroll issues, processing all PAR transactions, and coordinating with the HR Solutions Center, as needed.
    • Oversee the onboarding process for fellows, ensuring completion of I-9 documentation, occupational health service requirements, laboratory training, and any other necessary requirements prior to their start date.
    • Manage all aspects of the SURF alumni network and coordinate donor and funding reporting activities, maintaining strong relationships and clear communication.
    • Develop and manage the annual budget, ensuring transparent and efficient use of resources.
    • Other duties as assigned.

      Required Qualifications*

      • Bachelors degree or equivalent combination of education and experience.
      • Two or more years experience in office administration or project/program management.
      • Two or more years experience in complex event planning, ideally inclusive of international event planning.
      • Demonstrated ability to work independently exercising a high level of initiative, discretion and judgment regarding sensitive and confidential matters.
      • Ability to set priorities, handle multiple assignments, work collaboratively with team members, and meet competing deadlines.
      • Excellent interpersonal, written and verbal communication skills with an emphasis on customer service especially in working with departments and services across multiple areas.
      • Experience with Microsoft Office Suite, Adobe Suite, Google products, and survey software.
      • Demonstration of commitment to the FCVC Core Values.

        Desired Qualifications*

        • Previous experience working collaboratively with international organizations.
        • Experience facilitating undergraduate educational programs, inclusive of DEI best practices, and working with the U-M International Center.
        • Previous experience with payroll, financial reconciliation, and procurement to include processing of invoices and international wire transfers.
        • Experience utilizing Outlook, M-Pathways Human Resource and Financial systems, Chrome River expense reporting, Dropbox, Qualtrics and other University of Michigan IT systems including grant management program.
        • Knowledge of University policies, rules, and regulations.

          Modes of Work

          Positions that are eligible for hybrid or mobile/remote work mode are at the discretion of the hiring department.           Background Screening

          Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings.  Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
