About This Opportunity
The Finance team is looking for a motivated individual who is flexible, eager to learn, detail oriented and willing to work independently. Working closely with all department heads, the Fiscal Assistant plays a key role in the smooth operation of the day to day finance functions of the Garden.
Responsibilities include:
Payroll
- Manage the bi-weekly payroll processing functions in a timely manner including timecard management, employee benefits, and liaison with directors and managers to ensure all policies and procedures are being followed.
- Quarterly and Yearly payroll reconciliation.
- Assist with the preparation of pension and other reports as needed.
- Year End Payroll entries MELS, GTL, Domestic Partners.
- Updating data in Payroll System as needed such as fund allocation and coding.
Accounts Receivable
- Inputting cash receipts and journal entries into computerized accounting software.
- Responsible for the monthly reconciliation of Accounts Receivable, revenue and some payable accounts.
- Processing PayPal, Eventbrite and QuickBooks payments as needed.
- Monthly reconciliation of QuickBooks to accounting software.
- Generate monthly QuickBooks reports for review of accounts receivable with department heads.
- Assist with the preparation of monthly contract billing invoices.
General
- Assist Accounting & Benefits Manager with general ledger transactions, as needed.
- Assist Director of Finance with financial projects, for example, uploading the annual budget to the general ledger, audit schedules, monthly rental and education deferred revenue schedules and other projects, etc.
- Assist the Director of Finance in ad hoc projects and analytical studies to streamline operations and generate efficiencies.
- Provide general office assistance as well as assist other departments as the need arises.
- Assist with managing office equipment (telephones, copiers, time clock, postage machine, internet service) including: review of related invoices, submission of payments, maintenance contracts; ordering necessary supplies, overseeing/making repair calls, and coordinating staff training.
Qualifications:
- Bachelor's degree in accounting, finance or related field
- At least 2 years of previous experience in accounting procedures and financial reporting
- Strong attention to detail and accuracy in data entry
- Effective communication skills - written and verbal
- Ability to prioritize tasks and meet deadlines in a fast-paced environment
- Team-player with a proactive and positive attitude
- Knowledge of QuickBooks software required, Fund-EZ a plus
- Have in-depth knowledge of Excel and other Microsoft Office applications
Schedule:
This is a full-time, non-exempt position with weekly on-site work. Schedule is Monday through Friday.
Salary Range: $50,000 - $55,000
