We are looking for an Executive Assistant to provide administrative support to the President, COO, and EVP of Strategy & Business Development. OVERVIEW

The Executive Assistant provides support to the President, Chief Operating Officer (COO), and the EVP, Corporate Strategy & Business Development by performing advanced, diversified, and confidential administrative duties, both of a personal and business nature. This individual serves as the primary point of contact for internal and external stakeholders on matters pertaining to the Executives and oversees special projects.

JOB DUTIES

  1. Manage the calendars of the President, COO, and EVP, Corporate Strategy & Business Development by scheduling appointments, meetings, and conference calls with both internal and external parties as directed or independently; prepare meeting agendas, meeting notes, and reports as needed.
  2. Screen incoming calls and written correspondence; research, resolve, and follow up on issues and concerns in an appropriate and confidential manner.
  3. Compose and prepare a wide range of general, confidential, and complex correspondence; ensure proper sentence structure and grammar.
  4. Prioritize inquiries and requests to ensure smooth day-to-day operations.
  5. Anticipate needs and expectations; initiate follow-up on pending matters proactively.
  6. Facilitate communication within the organization, acting as a liaison between various teams and team members.
  7. Organize and execute special projects; ensure stakeholders are delivering on contributions.
  8. Conduct research and compile information to support various projects and initiatives.
  9. Participate in meeting and event planning.
  10. Arrange complex, detailed travel plans and itineraries with minimal direction.
  11. Communicate directly and on behalf of the Executives with board members, investors, and others on matters related to their position.
  12. Build relationships throughout the company and with external partners as needed for efficient and effective work.
  13. Compile expense reports for approval.
  14. Review, code, and submit invoices for approval and payment. Track spending for various teams against approved budgets.
  15. Uphold the highest level of professionalism and discretion when handling highly confidential information.
  16. Maintain the property organizational chart, applying and dispersing updates as needed.
  17. Review received legal correspondence from Sun's registered agent and distribute appropriately.
  18. Prepare quarterly certification forms.
  19. Notarize documents as needed.
  20. Ensure adequate levels of office supplies for the department.
  21. Other duties and special projects as assigned.

REQUIREMENTS

  • High School Diploma or GED; Bachelor's degree in Business or related field, preferred
  • Minimum of 7 years' administrative, or relevant corporate experience
  • Strong attention to detail, organizational and multitasking skills
  • Ability to interpret and effectively manage a large and complex workload with competing priorities
  • Excellent communication and interpersonal skills
  • Ability to work independently as well as a team in a fast-paced multi-tasked environment
  • Ability to maintain strict levels of confidentiality
  • Advanced computer proficiency with the Microsoft Office suite
  • Ability to provide data entry and analysis in a timely and efficient manner
  • Ability to work extended hours
  • Ability to respond to business needs after normal business hours
  • Ability to perform in-person work on a consistent basis
  • Ability to travel 5-10% of the time
