JOB LOCATION: Boston, MA (Mostly remote with some onsite)
WAGE RANGE*: $35-48/hr. - depending on experience

JOB DESCRIPTION

We are seeking an energetic, detailed organized Administrative Coordinator to support the Event and Conference Team. This position will provide administrative and secretarial support to the director and team of event and conference planners. Please note this is not an event planning role but rather an administrative support role within the events department. In addition to data-entry, reporting, review of event related specs for accuracy, cross reference reporting, filing, and scheduling, you will perform duties supply inventory, shipping, and event email inbox management.

Administrative Coordinator, Events Duties and Responsibilities:
  • Perform basic administrative tasks as requested.
  • Maintain electronic files and event database.
  • Organize and provide documents, reports, and information.
  • Maintain and reorder event related supplies.
  • Handle shipping of event related materials to and from events.
  • Resolve administrative problems by coordinating preparation of reports, analyzing data, and finding solutions.
  • Manage and respond to emails in event related email inboxes.
  • Update CVENT (Event management platform) as needed with updates to event dates, location, and budget numbers.
  • Review final contracts for important dates and add calendar reminders to ECM planners' calendars with important events dates (rooming lists due, deposits due, final guarantees, etc.
  • Work independently and within a team on special projects, which could include presentations or proofreading.

Administrative Coordinator Requirements and Qualifications:
  • Strong English-language skills, including writing, grammar and spelling.
  • Data entry with strict attention to detail.
  • Keen attention to detail and ability to keep records and files organized.
  • Competent collaborator and skilled cross-functional communicator.
  • Strong time manager with respect for deadlines.
  • Experience with Microsoft Office 365 and Sharepoint

Preferred Qualifications:
  • Experience with CVENT Event Management Software and Airtable
  • local to either Springfield or Boston, MA
  • Hybrid role/ mostly remote
