Job Description:
The Assistant Registrar for Transfer and Articulation is responsible for performing a wide variety of duties specifically the review, examination and posting student course transfer credit and course equivalency for accepted, admitted and matriculated students at Berklee College of Music and the Conservatory at Berklee. To maintain the integrity of all permanent academic records in accordance with AACRAO standard and Berklee policies and procedures. reports to the Associate Registrar and is a member of the curriculum and administration team.Essential Responsibilities:
Evaluate transfer, CLEP, IB and AP credit and manages transfer credit data in the student information system.
Administers the collection, validation, and transcription of grades including communication with instructors and chairs
Partners with the Admissions Enrollment team to develop Salesforce reports that provide accurate information on new and prospective transfer students that support Fall, Spring and Summer recruitment initiatives
Manages the approval and processing of Berklee Global Partner articulation credit.
All newly accepted/deposited students for BCB/BCM transfer evaluations.
Works closely with Enrollment officers to ensure that all student transcripts are evaluated in accordance with acceptance criteria and deadlines.
Builds and maintain transfer equivalences in the Colleague/PowerCampus and Workday Student system that is available to the schools via Informer reporting. The data is a valuable resource for schools to use for planning, accreditation and tracking student success for transfer population and supports campus-wide retention initiatives that will strengthen transfer student graduation rates.
Manages the processing of institutional credit between Berklee Online and Berklee College of Music and the Conservatory at Berklee.
Manages the entire ProArts Consortium process; establish offered courses, maintain accurate registration and communication with ProArts students and Consortium Registrars. Reconcile the final grades amongst the ProArts Consortium.
Maintains all operational procedures for this position with a bi-yearly review.
Maintains production calendar and standardized monthly communication calendars dedicated to transfer students.
Educates Student Success Advisors through delivered semester training series that focus on transfer students, available resources, trouble shooting and overall customer service for all transfer students.
Evaluates and processes potential course credit for BCB to BCM students
Processes withdrawals from the semester
Manages all aspects of the Intent to Return semesterly process.
Manages semesterly walkaway process to ensure federal reporting compliance
Manage private instruction and recital preparation re-level processes
Manages transfer credit email accounts for BCB/BCM and provides exceptional service and curricular support
Maintains semesterly grading retrieval and transfer credit statistics for process enhancement and archival integrity
Establishes a 3-year cycle review schedule to ensure accuracy of the transfer credit equivalencies in Colleague/PowerCampus and Workday Student.
Supervises work study students
Conducts an annual review of all official internal and external Registrar forms that support academic policy and procedures related to the responsibilities of Registrar Office. e.g., Maintains, edits, and creates
In partnership with the Associate Registrar of Curriculum and Administration, facilitates the Transfer Credit workshop for entering students each semester
In partnership with the Associate Registrar of Curriculum and Administration serves as a resource for information and training regarding transfer credit and grades to the entire Berklee Community and especially Academic Advising, department chairs and instructors.
Represents the Office of the Registrar on appropriate Berklee committees related to Workday Student
SME for all Workday transfer credit processes, equivalencies, data cleanup and reporting.
Other duties as assigned by the Associate Registrar
Required Skills and Experience:
Bachelor’s degree required, minimum of three years of relevant experience
Experience with Colleague, PowerCampus, Workday Student and Salesforce
Ability to work effectively under minimal supervision.
Proven excellence in time management skills
Ability to handle varied and competing priorities in a fast-paced environment.
Strong communication skills, both verbal and written, and ability to work with partners at all levels of the organization.
Proven service orientation and interpersonal acuity.
Strong analytic and problem-solving abilities.
