Full Job Description
The Borough of Caldwell is seeking an
Administrative Assistant, in a possible
part-time/full time position. This position will report directly to the Director of Health and
Human Services, and support various areas of the department including, but not limited to, the Caldwell Food Pantry, Senior Services, and the Health Department.
Duties and Responsibilities:
Answer phones, greet visitors, accept food
pantry donation drop-offs, respond to inquiries about senior programs, etc.
Oversee scheduling of meeting spaces to ensure there are no conflicts or overlaps of events.
Coordinate with the Department of Public Works, regarding the setup and breakdown of meetings and events.
Assist with logistics of senior programs and
department events, including taking
registrations, ordering refreshments, setting up and breaking down refreshments, calling
participants, and assisting during events.
Prepare flyers, monthly newsletters, and monthly calendar, with information provided by the Director. Once approved by Mayor and Council, distribute flyers by mail, and email.
Post approved flyers, calendars, newsletters, and other event information on the website and on social media.
Promote programs through local digital and print publications
Schedule appointments for Vital Statistics
applications and accept in-person Certified Copy of Vital Records applications.
Assist with preparing deposits for food pantry, vital statistics, welfare, or other revenue received, and bringing it to the Tax Department for deposit.
Assist with maintaining and updating records, helping with year-end procedures, and
preparing upcoming year files.
Prepare donation acknowledgement/thank you letters for Director's signature.
Pickup and drop off mail to Borough Hall
Assist the Food Pantry Coordinator and volunteers if/when needed, by stocking shelves and helping on food distribution days.
Ensure kitchen supplies, paper goods, and
office supplies are stocked.
Coordinate with Public Works regarding
building repairs and/or cleaning.
Other administrative tasks, as necessary
Skills:
Strong interpersonal skills, and computer skills. The ability to speak/write in Spanish would be a plus.
