The Administrative Assistant will support the front office operation by managing the administrative functions including greeting visitors, processing mail and supporting sitewide events.
When will you work?
- The hours for this position are Mon-Fri 8:30 am – 5:00 pm
What You’ll Do:
- Obtain and sort mail.
- Manage the process of scanning, organizing, and securely filing controlled substance prescriptions in compliance with regulatory requirements and company policies
- Organize and support site events, such as town halls, meetings, celebrations, etc.
- Maintain the schedule of monthly food trucks
- Support site meals where appropriate.
- Coordinate meetings with outside vendors as appropriate.
- Schedule quarterly town hall meetings
- Perform miscellaneous clerical work.
- Create and maintain monthly communication slide shows
- Sign in visitors, maintain visitor badges
- Arrange travel as needed.
- Perform additional duties as assigned.
Who You Are:
- Strong basic Microsoft Office experience (including Word, Excel, PowerPoint, and Outlook)
- Calendar management and scheduling experience.
- Excellent verbal and written communication skills.
- Able to work independently while thriving in a team environment.
- Positive, professional attitude.
- Ability to multi-task, prioritize, and manage time effectively.
- Pays strict attention to detail, understands the importance of accuracy and responsiveness.
What You’ve Done:
- Perform standard office tasks, including computer-based work, filing, and handling office supplies.
- Meet vision requirements such as close-range and distance vision, peripheral vision, depth perception, and focus adjustment.
- Communicate effectively while performing job duties.
- Proficient in fine hand manipulation, such as keyboarding.
- Work in a quiet to moderate noise-level office environment with typical office conditions.
- Hold a High School Diploma or GED.
- Maintain a professional and positive demeanor.
- Have strong knowledge of common office technology.
